Connect eBay

Connect eBay, set up business policies, publish and import listings, and sync inventory, price & orders.

Connecting eBay is different from a shared-catalog channel like Amazon or Walmart: on eBay you own each listing, and eBay will refuse to publish anything until your account has Business Policies, an inventory location, and a category and condition in place. This guide walks the whole path: connect, satisfy eBay’s pre-publish requirements once, list your catalog, pull in listings you already have, and set what syncs. For the model behind assigned versus listed, read How listings work first.

1. Before you start

  • An active eBay seller account you can authorize. The connect flow forces a fresh eBay sign-in, so have those credentials handy.
  • Products in your catalog with clean SKUs. eBay listings are keyed by SKU end to end; see Products.
  • A cost and weight on each product. ILLUMA works out each eBay price from cost, shipping, eBay fees, and your markup. A product that can’t be priced safely is skipped, never listed at a guess.
  • Business Policies on your eBay account. eBay requires Payment, Return, and Shipping policies. ILLUMA turns Business Policies on for your account the first time it loads your policies in Settings, and you create or pick the policies there (step 3).

ℹ️ Note: Connecting does not import your eBay order history. Only orders placed after you connect are picked up. To pull past orders, use Pull Historical Orders (section 7).

2. Connect eBay

eBay uses a consent redirect. You authorize ILLUMA inside eBay, and nothing is stored until consent succeeds.

  1. Open Channel Hub. Go to Channels → Channel Hub and, on the eBay card, click Set Up (or Manage if a connection already exists).
  2. Start the connection. On the Connect eBay screen, click Connect Account. ILLUMA sends you to eBay’s authorization page.
  3. Sign in and grant access. eBay asks you to sign in again (so a stray signed-in account is never linked by accident), then to grant access to your seller account. Approve it.
  4. Land back in ILLUMA. On success you’ll see eBay connected successfully. and the status chip in the header reads Connected.

⚠️ If the channel later shows “Expired”: eBay refused to renew the connection and syncing has stopped. Click Reconnect on the same screen and approve again. Your listings and settings are kept.

3. Set up what eBay requires before publishing

eBay refuses to publish a listing unless the account has valid Business Policies, an inventory location, and the listing carries a category and condition. Set these once and every later listing inherits them. They live on the eBay channel’s Settings tab, in the eBay Defaults card. Changes save as you make them.

⚠️ Warning: Publishing is blocked without these. If a product won’t go live, the error is almost always one of: listing policies are required (payment, return, fulfillment), merchant location key is required, or category ID is required. This section clears all three.

📸 Screenshot placeholder: Channels → Channel Hub → eBay → Settings, the eBay Defaults card scrolled so Business Policies (Payment, Return, Shipping with their + New buttons), Inventory Location, Default Category, and Default Condition are visible.

3.1 Business Policies (Payment, Return, Shipping)

Under Business Policies, pick a default for each of Payment Policy, Return Policy, and Shipping Policy. If you don’t have one, click + New beside it and fill in the short form: a name for a payment policy; a name, Accept returns, the return window (14, 30, or 60 days) and who pays return shipping for a return policy; a name, handling time, shipping service, and free shipping or a cost for a shipping policy. Every listing needs one of each.

3.2 Inventory Location

eBay requires a location an offer ships from. Choose your Inventory Location. If none exists yet, choose one of your ILLUMA inventory locations and click Map to eBay. Without it, publishing fails on merchant location key is required.

Below it, Fulfillment Location Mappings control which of your inventory locations feed eBay’s quantity: set each to Don’t sync or Sync to eBay. The quantity sent to eBay is summed across the locations you mark Sync to eBay.

3.3 Default Category and Condition

Search for a Default Category (ILLUMA then shows the item specifics that category requires) and choose a Default Condition, from New through For Parts or Not Working. These are the fallback for any product that doesn’t override them. A listing with no condition goes up as New.

💡 Tip: While you’re in eBay Defaults, also set Pricing Defaults (Default markup %, Final value fee %, and Fixed fee ($)) so your margin math is right. Item Specific Mappings fill category-required item specifics automatically, and title and description templates live on the channel’s Templates tab.

4. List your products

Once section 3 is done, listing is a single action: you don’t assign and then separately publish. Listings are always Fixed Price, Good 'Til Cancelled.

List one product

Open the product, go to its Channels tab, and click List on… and choose eBay (for a product already on the channel, click List on eBay or Update eBay listing on its eBay card). Pick a category and condition, check the price preview, and click List it now.

List many products

  1. Open the Listings tab in the eBay console.
  2. Click List All Products. This opens the List on eBay window. Choose a Template, a Condition, and a Markup % (or leave them on the defaults).
  3. Read the check. ILLUMA checks every product and shows how many are ready to list and how many can’t list yet, with the reason for each (a missing cost, a missing category, and so on). Each product lists at its own price: cost + shipping + eBay fees + markup.
  4. Click the List button (it reads List N products). The job runs in the background; watch it in the Active work tray or the Activity tab.

Products already on eBay are skipped; update those from the product page. One run lists up to 5,000 products, so run it again for the rest.

📸 Screenshot placeholder: The “List on eBay” window after the check: the Template, Condition, and Markup % fields, the ready and can’t-list-yet counts, and the product table with a few Ready rows and a few rows showing a problem.

Re-send what’s already on the channel. Sync All, next to List All Products, re-publishes every assigned product without re-assigning anything.

Publish a subset. Use the More menu, or tick products and use the selection bar:

Where What it does
List by Category (More menu) Opens the same List on eBay window for one category
List on eBay (selection bar) Opens the window for the products you ticked
Unassign Not-Listed Google only; not shown on eBay
Remove All (More menu) Removes all products from the channel

Per-listing overrides

To override the defaults for one product, open the Listings tab, expand the product row (the arrow at its left), and use the eBay Configuration panel. Each field can override the channel default: Category, Condition (Use default keeps the channel default), Fulfillment Policy, Payment Policy, Return Policy, and Inventory Location. You can also set a Title Override, Price Override, and Description Override. Click Save to apply.

ℹ️ Note: Overrides win over channel defaults. That’s how you list, say, a seller-refurbished unit while the channel default stays New, or route one SKU through a different return policy.

5. Import listings you already have

If you already sell on eBay, bring those listings in for matching instead of re-creating them.

5.1 Import from eBay

Click Import from eBay on the Listings tab. This stages your eBay listings in the Review Imported Listings card for matching. Nothing is linked automatically.

In that card:

  • Filter with the tabs Needs review, Suggested, Unmatched, Linked, and Dismissed.
  • Click Accept to take a suggested match, Change or Match to Product to pick a different product, or Dismiss to drop the row.
  • Click Confirm all suggested (N) to link every suggested match at once.

After an import you’ll see a banner counting listings staged, with a suggested match, needing a product, and already linked.

5.2 Older (legacy) listings

Listings created through eBay’s older tooling, including anything managed by M2E Pro, can’t be seen by Import from eBay. If the import brings in far fewer listings than you have live, these are the missing ones. Moving them over is not a button in the dashboard today. Ask ILLUMA support about migrating them. Only fixed-price listings that carry a SKU can be moved; auction-style and SKU-less listings can’t.

6. Choose what syncs

Under Settings → Sync to eBay, three checkboxes control what ILLUMA sends out after you list. All three start off.

Toggle Notes
Sync inventory Push quantity changes. Shows a Re-sync inventory now button when on.
Sync price Push price changes. See Pricing & Repricing.
Sync product content Let ILLUMA manage the full listing: title, images, item specifics, category.

💡 Tip: Turn these on once you’ve checked that your listings look right on eBay, so a bad price or a zero quantity doesn’t spread before you’ve reviewed it. Quantity is summed only across the locations you set to Sync to eBay in section 3.2.

7. Orders and fulfillment

Once connected, ILLUMA checks eBay for new orders about every 2 minutes. Orders import with the buyer’s details; unpaid orders are skipped until eBay marks them paid. Manage them from Orders.

  • No history by default. To pull older orders, go to Settings → Pull Historical Orders, pick a date range (or Last 7, 30, 60, or 90 days), and start it.
  • Tracking goes back to eBay automatically. When a shipment is created (through ShipStation or manually), ILLUMA confirms the shipment and tracking number to eBay.

⚠️ If confirmations all pause at once: eBay limits how many shipment confirmations can be made per day across all sellers using ILLUMA. When that limit is hit, ILLUMA stops trying for about an hour and then resumes by itself. Nothing for you to do; the shipments are retried automatically.

8. Troubleshooting

Symptom Likely cause Fix
Listing won’t publish: “policies required”, “category ID is required”, or “merchant location key is required” Missing pre-publish setup Complete section 3: choose Business Policies, an Inventory Location, and a Default Category
A product shows under “can’t list yet” in the List on eBay window It has no cost, no category, or another gap, shown beside it Fix what the row says and run the check again
A product publishes but only its quantity updates, never full content Sync product content is off Turn on Sync product content, or list the product again so its content publishes
Every listing goes live as New No condition on the product and no default Set Default Condition in eBay Defaults, or set Condition in the row’s eBay Configuration panel
Order stuck “Awaiting shipment” after you confirmed it The tracking number didn’t attach Re-check the tracking number (letters and numbers only, no spaces) and look at the row on the Activity tab
Every shipment confirmation fails at once eBay’s daily confirmation limit was reached Nothing to do; it pauses about an hour and resumes
Channel shows Expired eBay refused to renew the connection Click Reconnect and approve again
No past orders imported Only orders after you connected are picked up Use Settings → Pull Historical Orders
An imported order shows unpaid or is missing Payment not yet settled on eBay It imports on a later check once eBay marks it paid
Import finds far fewer listings than you have live The rest are older (legacy or M2E Pro) listings See section 5.2
