Managing Orders

Work the Orders page: search, filter, use the tabs and bulk actions, and open an order.

The Orders page lists every sale from every channel in one table. This page covers how to find an order, what the tabs and columns mean, and what you can do from the list and from an individual order.

The Orders page

Go to Orders → All Orders in the sidebar. Orders → Pending Fulfillment opens the same page on the Unfulfilled tab.

The strip across the top covers the last 30 days: Orders, Revenue (30d) (paid orders only), Unfulfilled, Fulfilled and Needs Attention. Click Unfulfilled or Fulfilled to jump to that tab. How Needs Attention is counted is explained in Order lifecycle.

Tabs

Tab Shows
All Every order
Unfulfilled Fulfillment is Unfulfilled (cancelled and refunded orders are left out)
Backordered Paid orders waiting on a restock or a special-order PO
In Progress Orders a drop-ship vendor is filling (Awaiting Vendor)
Pickups Store-pickup orders
Ready for Pickup Pickup orders that are staged and waiting for the customer
Unpaid Payment is Pending
Shipped Fulfillment is Fulfilled
Cancelled Cancelled orders

Search and filters

Search by order number or customer email. Add filters for Status, Payment, Fulfillment, Channel, Location (shown once you have locations) and Ship By (Overdue, Today or Tomorrow). Combine them: Amazon + Paid + Unfulfilled is everything paid on Amazon that has not shipped.

Small tags next to the Fulfillment status tell you more: ShipStation (already pushed), Not pushed (paid but never sent to ShipStation), Push failed, Dropship and Pickup.

Open an order

Click any row to open it. The page shows the items, totals, payment history, any returns, the fulfillment section (shipments and drop-ship POs), the customer, both addresses and notes. From here you can:

To do this Use
Change a status The Order Status, Payment and Fulfillment dropdowns, then Save Changes
Cancel an unshipped order Cancel Order. See Returns & refunds
Refund a card payment Issue Refund. See Returns & refunds
Fix an address Edit on the Shipping Address or Billing Address card, then Save address. On Amazon and eBay orders this replaces the marketplace address and is what ShipStation receives
Change items on a storefront order Edit on the Order Items card, then Save Items
Record a shipment by hand Create Shipment in the Fulfillment section
Send to ShipStation again Push to ShipStation or Re-push in the Fulfillment section
Buy a label in ILLUMA Create label, if you turned that on. See Labels & tracking
Add an internal note The Internal Notes box, then Save note (customers never see it)
Create a drop-ship PO Create Drop Ship PO in the Fulfillment section

Split an order across locations

At the bottom of the Fulfillment section, Fulfillment Split plans which location ships what when one location cannot cover the whole order. Pick a strategy (Split when needed, Single location only or Optimize) and click Auto-split, or type the quantity each location will ship in the grid and click Apply split. Units you leave unassigned go on backorder, and you are warned if a location does not have enough stock.

ℹ️ Note: The split is a plan inside ILLUMA. A shipment that arrives from ShipStation still counts every line on the order as shipped, so use Create Shipment to record shipments item by item.

Bulk actions

Tick the checkboxes on the left to select orders. The bulk actions are:

  • Push to ShipStation: sends the selected orders. Pickup and drop-ship orders have nothing to push and are reported as failures.
  • Add tag: adds a tag to each selected order.
  • Cancel: asks for a reason, then cancels each order the same way Cancel Order does. Orders that already shipped cannot be cancelled and are listed.

If some orders fail, you get a list of which ones and why. The rest still go through. Export downloads the orders on the current page as a CSV file.

Create an order yourself

Click New Order to enter a phone, counter or walk-in sale. Choose the customer, add items, set shipping, tax and discount, and pick how it was paid (unpaid, cash, check, other or card).

Pickup orders

Open a pickup order and click Mark Ready for Pickup. The customer is emailed a pickup code. At the counter, enter or scan the code and click Complete Pickup. Complete without code (override) is there when you need it. Completing a pickup records the shipment and takes the stock off the shelf.

Let automation do the routine

A flow that pushes paid orders to ShipStation turns your Orders page into an exception queue rather than a to-do list.
